Privacy Policy

We take your privacy seriously. This policy explains in plain language what data we collect, why, and how it is handled. If anything is unclear, please reach out — we are happy to answer your questions.

What data we collect

When you use the Team Cohesion Tool, we collect the following information:

  • Names and email addresses of the team leader and participants
  • Relationship ratings — social closeness, task alignment, and collaboration frequency ratings between colleagues
  • Team sentiment ratings — individual responses to statements about how the team feels as a collective, such as sense of belonging, pride, and commitment to shared goals
  • Enabling conditions ratings — individual responses to statements about the working conditions in your team, such as psychological safety, clarity of purpose, voice, and fair processes
  • Team context information — team size, development stage, work setting, and other contextual details the team leader provides during setup

Why we collect it

We collect this data for one purpose: to generate meaningful team cohesion insights for the team leader and, where applicable, the team's coach. The data is used to produce network maps, cohesion scores, individual profiles, and facilitator-ready analysis that help teams understand and improve how they work together.

Where your data is stored

All data is stored on Google Cloud infrastructure via Firebase/Firestore, using EU-region servers. Data is encrypted both at rest and in transit using industry-standard encryption protocols.

Who sees what

We are careful about who can see which data:

  • Participants rate their relationships with peers only — they are not asked to rate their relationship with the team leader. This protects against social desirability bias. Participants see only their own individual profile — their personal connection scores, their own enabling conditions ratings compared to team averages, and personalised suggestions. They cannot see other people's individual ratings.
  • Team leaders also complete the assessment, rating their relationship with each team member and answering the same enabling conditions questions. They see aggregated team-level results, the network map, and the Enabling Conditions Score (a team average that excludes their own self-assessment) alongside their own self-assessment for comparison. Dyadic (person-to-person) scores between team members are never shared with the team leader. Individual enabling conditions responses are never attributed to specific team members.
  • The facilitator/coach (Alex Popa-Antohi) has access to all data including individual ratings and perception gaps. This is necessary to provide professional coaching support and ensure insights are interpreted constructively.

Data retention

Team data is retained for 12 months after the last assessment run, then automatically deleted. The team leader or coach can request earlier deletion at any time by contacting contact@alexandrupopa.com. Team leaders can also delete their own team data directly from the dashboard at any time.

Your right to deletion

Any participant can request that their data be removed by contacting contact@alexandrupopa.com. When a participant's data is removed, their individual ratings will be deleted and team aggregates will be recalculated to reflect the change. Team leaders can delete all team data at once via the dashboard.

AI-powered insights

Some insights in the report are generated using the Anthropic Claude API, a third-party AI service. When you request AI-generated analysis, team data including dimension averages, team sentiment scores, and enabling conditions scores is sent to generate insights. To protect privacy:

  • Only first names are sent to the AI — last names are never included
  • The team name and company name are never sent to the AI
  • Participants are not individually identifiable from the data sent

No data sent to Anthropic is used for AI model training. You can read more about Anthropic's data practices in their privacy policy.

Cookies and session data

The app uses only essential session storage (sessionStorage) to maintain participant login state during the assessment. This data is automatically cleared when the browser tab is closed. We do not use tracking cookies, analytics cookies, localStorage, or any third-party cookies. No persistent tracking of any kind occurs.
